Overview

The Exhibit Hall is the convention’s central hub of activity. The hall features exhibiting companies with a wide variety of flutes, music, accessories, and other related products. Attendees eagerly anticipate this annual "one-stop shop" for all things flute, with many citing the exhibit hall as a “must-visit.” We are currently accepting booth orders!

Please note, all communications regarding exhibiting and contracts will come directly from NFA staff members. The NFA has not authorized any 3rd party organizations to make soliciting calls or emails.

2025 Dates & Deadlines
  • March 10: Booth sales open
  • April 10 (11:59pm CT): Last day to receive full allotment of 2025 placement points (with full contract payment)
  • May 1: Last day to have an ad requested for printed materials (after this date all ads will be placed in online materials)
  • May 9: Last day to receive any placement points (with full contract payment)
  • May 10: Last day to sign and pay contract for priority placement
  • May 10: Last day to purchase and submit your Exhibitor Showcase/Concert information form
  • June 1: Last day for inclusion in the NFA convention program book
  • June 16: Exhibitor kit will be emailed to all exhibitors and posted online
  • July 18: Last day to purchase a booth

Small Company Discount

We offer a discounted booth rate to small companies who wish to exhibit. The intention of a small company discount is to remove barriers that prevent small companies from participating in the exhibit hall. Those who are interested must fill out our Small Company Discount Application form, which will be reviewed by our Executive Director. The discount only applies to in-line booths. End cap, corner or island booths are not available through the discount program. SMALL COMPANY DISCOUNT FORM

To Purchase a Booth:

Step 1: Log In to Your Member Portal

Log in to the NFA Member Portal. IMPORTANT: You must first log in with your personal NFA account, then switch over to your commercial account from your member profile (this is demonstrated in the walkthrough video at the bottom of this page).

Step 2: Verify Your Membership Status

A Commercial NFA Membership is required to exhibit at the convention. You can check the status of your commercial membership in the member portal. If you have questions about your membership status, please contact Mily Harrod.

Step 3: Review Our Policies and Documents
Please read the Rules & Regulations Document BEFORE you begin the Exhibitor Contract, as it will answer most of your questions. You may also want to review the Exhibitor Prospectus and FAQs. If you have any remaining questions, contact Daniel Pozzebon

Step 4: Complete the Exhibitor Contract
Access the Exhibitor Contract through your Member Portal or by using THIS LINK (make sure you've switched over to your commercial account!). Follow steps to purchase your booth, add-ons, and submit payment.
Step 5: Submit Other Required Forms

Don't forget to complete the following forms by their respective deadlines: 

Program Book Advertisement Order Form - Due May 1st, 2025 (Optional - only if you want to purchase an ad in our printed program book)
Exhibitor Showcase Form - Due May 10th, 2025 (Optional - only if you want to present an Exhibitor Showcase)
Exhibitor Concert Form - Due May 10th, 2025 (Optional - only if you want to participate in our Exhibitor Concert)
Exhibitor Badge Information Form - Due July 18th, 2025 (Required for all Exhibitors)



Step 6: Keep an Eye on Your Email Inbox!
